Privacy Policy

Best Link Manager is a product of RealValuation LLC, an Arizona limited liability company ("we", "us"). This policy explains what information we collect through bestlinkmanager.com and the Best Link Manager add-in for Microsoft Word, and how we use it. The short version: we collect only what's needed to sell you a license and make it work, we never see your documents, and we don't sell or share your information for advertising.

Your documents and spreadsheets stay on your computer

The add-in works entirely on your computer, between Word and Excel. It never sends the contents of your documents or workbooks, their names, or the data you link to us or anyone else. The only information it sends over the internet is the license information described below.

Information we collect

When you buy a license

  • Your name and email address, which you enter at checkout.
  • Payment is handled by Stripe. You enter your card details on Stripe's secure page; we never see or store your card number. Stripe tells us the purchase was completed and gives us a reference number for it.
  • Your license key, which we generate and link to your name and email.

When you activate the add-in on a computer

  • Your license key.
  • A computer ID: a one-way scrambled code derived from Windows' installation ID. It lets us tell your computers apart but can't be turned back into anything that identifies your computer to anyone else.
  • Your computer's name as set in Windows (for example "DESKTOP-4F2K9"), so you and we can recognize which computer is which when you move your license.
  • The IP address the activation came from, and the date.

Occasional license check. About once a month, when you're online, the add-in sends the same license key, computer ID and computer name so we can confirm the license is still valid. We record the date of the most recent check. If the add-in can't reach us, nothing happens and it keeps working.

When you deactivate a computer, we record that the computer is no longer activated.

When you email us, we receive your email address and whatever you choose to include.

When you visit the website, our hosting provider records standard technical information such as IP address, browser type and the pages requested, in server logs used for security and troubleshooting.

Cookies

The website uses a single essential cookie that keeps forms secure and, for our own staff, keeps the admin area signed in. We don't use analytics, tracking or advertising cookies. When you pay, Stripe's checkout page may use its own cookies under Stripe's privacy policy.

How we use your information

  • To process your purchase and email you your license key.
  • To activate, deactivate and verify your license, and to enforce the 2-computer limit.
  • To provide support, process refunds, and prevent fraud or license sharing.
  • To keep records required for accounting and tax purposes.

We don't send marketing email, and we don't sell, rent or share your personal information for advertising.

Who we share it with

We use a few service providers who process information on our behalf, only as needed to run the service:

  • Stripe: payment processing.
  • Resend: sending the license email.
  • Render: hosting the website and license service (in the United States).

We may also disclose information if required by law, or to protect our rights or the safety of others. If RealValuation LLC or this product is ever sold or reorganized, customer records may be transferred as part of that transaction under the same protections described here.

How long we keep it

We keep license and activation records for as long as your license exists, because they're what make your license work and let you move it between computers, and afterwards as long as needed for accounting, tax and legal purposes. Server logs are kept for a limited time by our hosting provider.

Your choices and rights

You can ask us to show you, correct, or delete the personal information we hold about you by emailing us. Deleting your records means we can no longer activate your license or help you move it, so we'll confirm before deleting a license that's in use. Depending on where you live (for example California or the European Union), you may have additional rights under local law; contact us and we'll honor them.

Security

Information is sent over encrypted connections (HTTPS). License activations are digitally signed so they can't be forged. No system is perfectly secure, but we limit what we collect so there's little to expose.

Children

Best Link Manager is a business tool and isn't directed at children under 13. We don't knowingly collect information from them.

Changes

If we change this policy, we'll update the date at the top of this page. If a change significantly affects how we use information you've already given us, we'll email you.
